Privacy Policy

Last updated: 1 April 2024

Neotoma Hub is committed to protecting the personal information of our clients and website visitors. This policy explains what we collect, why we collect it, how it's stored, and what your rights are under Australian privacy law.

We operate in accordance with the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth).

What information we collect

When you contact us through our website forms, book a consultation, or engage our coaching services, we may collect:

  • Your name and contact details (email address, phone number)
  • Information about your professional background and career situation that you share during coaching
  • Your IP address and general location data, collected automatically by our analytics provider
  • Information about how you use our website, including pages visited and time spent on site

We collect only what we need. We don't ask for sensitive personal information unless it's directly relevant to the coaching work.

How we use your information

The information we collect is used to:

  • Respond to enquiries and schedule coaching sessions
  • Deliver and personalise our coaching services
  • Communicate updates about your sessions or changes to our services
  • Understand how our website is being used so we can improve it (analytics only — with your consent)

We don't sell, rent, or trade your personal information to third parties for marketing purposes.

Third parties

We use a small number of third-party services to operate our website and business:

  • Google Analytics — used to understand website traffic and usage patterns. Only activated if you consent to analytics cookies. Google's privacy policy is available at policies.google.com/privacy.
  • Email service providers — used to receive and respond to enquiries. Messages are transmitted securely.
  • Video conferencing platforms (Zoom, Google Meet, or similar) — used for remote coaching sessions. These platforms have their own privacy policies.

Data storage and security

Your personal information is stored securely. We use industry-standard measures to protect it from unauthorised access, disclosure, or misuse. Access to client information is restricted to James Morrison and any support staff directly involved in service delivery.

We retain personal information for as long as necessary to provide our services and comply with legal obligations — typically no longer than three years after the end of a coaching engagement. You may request deletion at any time.

Cookies

Our website uses cookies. Some are necessary for the site to function; others are optional and used for analytics. You can manage your cookie preferences at any time using the consent banner. Full details are on our cookie policy page.

Your rights

Under the Australian Privacy Principles, you have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate or outdated information
  • Request deletion of your information (subject to any legal obligations to retain it)
  • Withdraw consent to analytics or marketing cookies at any time
  • Lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au if you believe we have mishandled your information

How to make a request

For any privacy-related request — access, correction, deletion, or complaint — contact James Morrison directly:

Email: [email protected]
Post: 25 Collins Street, Melbourne VIC 3000, Australia

We will respond within 30 days. Where a request requires more time, we'll let you know and explain why.

We may update this policy from time to time. The date at the top of the page reflects the most recent version. Continued use of the website after changes are posted constitutes acceptance of the updated policy.
